Stay Ready, So You Don’t Have to Get Ready: What’s in Your Event SOS Box?

The Importance of an Event SOS Box

You’ve planned a high stakes event down to the final detail. Packing list? Checked. To-do list? Double-checked. You even led a run-of-show meeting with your team, and everyone’s aligned. You feel completely ready… until you walk into the venue and realize you forgot something you didn’t even know you needed. You just assumed the venue would have it.

This is why you never trust assumptions and always arrive with your Event SOS Box. It stays on the packing list and contains anything you might need for that “oh shoot!” moment, from extra tape to reserved signs to spray-on deodorant.

An Event SOS Box is your just-in-case toolkit for those inevitable “oh shoot!” moments. Because no matter how much you plan, something will go sideways. A vendor runs late, a sign goes missing, someone’s heel breaks or the venue doesn’t have what you expected.

Being prepared isn’t just about planning for what should happen. It’s about having a plan for what could happen.

What’s in the Event SOS Box

This isn’t a junk drawer.  It’s curated, and it grows every time you learn a lesson along the way. Here’s what mine stays stocked with:

Repair & Backup

  • Extra signage (reserved signs, name tags)
  • Gaffer tape (a must) and Scotch tape
  • Medium-sized clips
  • Safety pins/mending kit
  • Strong adhesive glue — an E6000, not an Elmer’s
  • Zip ties, rubber bands, and a multi-tool

Tech Essentials

  • Extra batteries
  • Extension cords/power strips
  • Phone/laptop chargers, multiple cable types

Personal Care & Health

  • Disinfectant wipes
  • Electrolyte packets
  • Hair ties
  • Mints or gum
  • Personal medications
  • Protein bar or snack
  • Spray-on deodorant
  • Stain remover pen
  • Sunscreen & bug spray

Miscellaneous

  • Band-Aids & disinfectant
  • Hand sanitizer
  • Scissors
  • Sharpies

Organized Chaos

The difference between an event that runs smoothly and one that spirals is often just a few small items packed with intention. Events are chaotic, so control what you can control. The client just spilled coffee on their shirt before a ribbon-cutting? You’ve got a stain pen for that. Crisis averted, no one noticed, and you’re already three steps ahead.

So, next time you’re double-checking that packing list, ask yourself: What’s in my box? If you don’t have an Event SOS box yet, it’s never too late to start.

Because little details like this are often what turn an event into an experience, and that’s exactly what our team brings to every event we manage. To learn more about our event management services, click here.
